Special category data

Certain types of personal data require extra care under UK GDPR, including information about health or disability, criminal convictions, and other sensitive attributes. We will only collect and use this type of data where there is a clear lawful reason to do so, and we will always inform you before processing it.

3. How we collect your information

We collect personal data from a variety of sources, depending on how you interact with us:

4. Why we collect and use your information

We use your personal data for the following purposes:

For candidates

For clients and hiring organisations

For all users

5. Our lawful basis for processing

UK GDPR requires us to have a lawful basis for processing your personal data. Depending on the purpose, we rely on one or more of the following:

Lawful basisWhen we rely on it
ContractTo fulfil our obligations as a recruitment agency — providing work-finding services and placing candidates
Legitimate interestsMatching candidates to roles, maintaining our candidate database, business development, and improving our services. We balance this against your interests and rights
Legal obligationRight-to-work checks and other statutory requirements
ConsentSending marketing communications; processing any special category data you voluntarily share; retaining your data beyond standard retention periods

Where we rely on legitimate interests, you have the right to object to our processing. Please see Your Rights for more information.

6. Artificial intelligence & technology

We use technology to help us match candidates to roles more effectively and to manage our recruitment process efficiently. Where we use automated or AI-assisted tools, we do so in a controlled and transparent manner.

Our commitment on AI & data

All AI tools used by Fame Recruitment are deployed within a secure environment. We maintain full control of all data processed through these systems. No candidate or client data is shared with third-party AI providers in a way that would allow it to be used to train external models or accessed beyond what is necessary to perform the stated function. We are fully GDPR-compliant in our use of technology.

Bullhorn ATS & CV parsing

We use Bullhorn, a leading recruitment management platform, as our applicant tracking system (ATS). Bullhorn uses AI to assist with parsing CVs — this means it reads your submitted CV and extracts structured information (such as your employment history, skills, and qualifications) to populate your candidate record. This helps our consultants work with your data more accurately and efficiently.

Bullhorn processes data in accordance with its own privacy and security policies and is contractually bound to process your data only on our instruction. Full details of Bullhorn’s data processing practices are available at bullhorn.com.

Automated decision-making

We do not use fully automated decision-making (without human involvement) in relation to any significant decisions about candidates. Our consultants review all AI-assisted outputs and make placement and shortlisting decisions themselves.

Website analytics

We use standard web analytics tools to understand how visitors use our websites. This data is aggregated and anonymised where possible. Please see our Cookies section for further detail.

7. Who we share your information with

We do not sell your personal data to third parties, and we do not share it for third-party marketing purposes. We may share your data in the following circumstances:

Client organisations

We share candidate information with client organisations when we put you forward for a specific role. We will always do this with your knowledge, and we will only share what is necessary and relevant to that vacancy.

Technology and service providers

We work with trusted third-party suppliers who support our operations, including our ATS provider (Bullhorn), website hosting, email platforms, and IT support. All suppliers are subject to data processing agreements and are required to handle your data securely and in accordance with UK GDPR.

Where any of our technology suppliers process data outside of the UK or European Economic Area (EEA), we ensure that appropriate safeguards are in place — such as UK International Data Transfer Agreements (IDTAs) or equivalent mechanisms — to ensure your data remains protected to UK GDPR standards.

If you would like further information about the safeguards in place for any international transfers, please contact us at the details below.
